Authority Collaborators
Real-time project team subject matter information and expertise input. Authority Assessment team collaboration starts here.
Automatically share planning and design constraint criteria with the Authority Assessment team.
Automatically allow the team to:
complete assessment criteria as subject matter expert, and
append respective supporting documents.
The person responsible for the application is the Assessment Manager. The Assessment Manager controls all invites, has access to all of the information and can edit or complete any Authority Assessment team members' work.
How do I invite another Authority member to collaborate on an application?
Read this article to learn how to invite an Applicant Collaborator through the Team (Applicant) feature.
How do I accept an invite to collaborate on an application?
You will be emailed a link to collaborate on an application.
Select Accept Invite on the email invitation.
The link will take you to your internet browser and open the software on the invited application.
If you are using the software for the first time, you will be asked to create an account.
Authority collaborators won’t be able to see the application on their applications dashboard until they have accepted the invite to collaborate on the application.
What will Authority collaborators be able to see when they are invited to collaborate on an application?
The software filters out all the irrelevant development application material for the authority collaborator to focus on their subject matter assessment.
Authority collaborators have access to the Documents feature feature, which includes the plans, drawings, specialists reports and information.
Authority collaborators have access to the Planning Summary feature, which includes planning information, mapping and resources.
Within each application the Authority collaborators can view the Categories (Authority), State & Federal (Authority) Codes (Authority), Reporting (Authority) and Conditions (Authority) steps up to the Evaluation status.
The Categories (Authority), State & Federal (Authority) and Codes (Authority) steps are made viewable for Authority collaborators to provide further context on the development application.
Authority collaborators can write Notes at the Categories (Authority), State & Federal (Authority), Codes (Authority) and Reporting (Authority) steps up to the Evaluation status.
Authority collaborators will predominately work within the Reporting (Authority) and Conditions (Authority) steps.
Within the Reporting (Authority) step, the invited Authority collaborator will only see the assessment card they are invited to. e.g. if you invite the Design role to collaborate on the application, they will only see the Design assessment card.
Why am I landing on different steps when I open up an application?
When opening up an application Authority collaborators may land on various steps. This could be due to a number of different factors.
Where Admin or the Assessment Manager may be up to in their review and assessment of the application;
Whether there are incomplete steps ( highlighted in orange in the workflow bar);
What the Authority collaborator's assigned organisational role and permissions are (ie. whether collaborator or member);
Whether the Authority collaborator is an Active member on the Assessment Team (Authority).
Examples:
Where the application is in Validating status
If Admin or the Assessment manager has not commenced their review and progressed past Location (Authority), the Authority collaborator will be taken to the Categories (Authority) step when opening up an application.
If Admin or the Assessment manager has commenced their review and progressed past Location (Authority), the Assessment collaborator who is an Active member on the Assessment Team (Authority) will be taken to the Reporting (Authority) step.
If Admin or the Assessment manager has only completed some of the steps in Validating status and:
the Authority collaborator is a co-ordinator role type at the organisation level and is NOT an Active assessment team member, the Authority collaborator will be taken to the next step which is required to be completed. For further information refer to Authority Roles & Permissions Help centre article.
the Authority collaborator is a co-ordinator role type at the organisation level and IS an Active assessment team member, the Authority collaborator will be taken to the Reporting (Authority) step.
Where the application is in Information request status
If the Assessment manager has not completed their assessment in the Code step, the Authority collaborator will be taken to the Codes (Authority) step.
Within the assessment card, the Authority collaborator will only see the assessment benchmarks applicable to the subject matter they have been invited to and all supporting documents. Supporting documents have been designed to provide flexibility for authority assessment no matter the team or organisational structure.
Why am I seeing all the supporting documents as a collaborator?
As uploads within Supporting documents could be applicable to any team in the Authority (e.g. anything from Engineering reports to subdivision plans), there is no way of knowing which document applies to which team or which user in the assessment team. Consequently, supporting documents is visible to all users.
Why am I seeing multiple of the same assessment benchmark?
Assessment benchmarks may be duplicated as they may deal with various subjects e.g. stormwater & environment.
This separation allows your subject matter experts to complete a comprehensive assessment against their own benchmark/task!
Authority collaborators have access to the Notes feature.
